Booking Terms & Conditions
Your contract is with Mr and Mrs Huffadine (“we”, “us” and “our” in these Booking Conditions) for the property known as Villa Petalutha (“the Property”). References to “you” or “your” are references to the person making the booking and all members of the holiday party.
These Booking Conditions form the basis of your contract with us so please read them carefully. Nothing in these Booking Conditions affects your normal statutory rights.
1. Making your booking directly with the owners
When you book the Property you must return the completed and signed booking contract to us (by email or post) and make arrangements for the payment of the 25% Initial Deposit by bank transfer. Please note that the Initial deposit is normally only refundable if you cancel your booking within seven days of receiving our written confirmation of your booking. However, during the pandemic crisis, we will refund the deposit payment in full if it becomes clear that you are unable to travel due to government restrictions.
Return of the completed booking contract will be taken as acceptance of our terms and conditions.
Your booking is made as a consumer for the purpose of a holiday and you acknowledge that no liability can be accepted for any business losses howsoever suffered or incurred by you.
Once the completed booking contract and the initial deposit have been received and accepted by us, we will issue you with our written confirmation. The contract between us will only be formed when we send you our written confirmation and is subject to these Terms and Conditions. We reserve the right to refuse any booking prior to the issue of our written confirmation. If we do this we will promptly refund any money you have paid to us.
You should carefully check the details of our written confirmation and inform us immediately of any errors or omissions.
You are required to make your payment of the balance of the rental and a fully refundable security deposit of £500 at least 8 weeks prior to the arrival date as set out in our written confirmation, unless a later payment date has been agreed by us. If you fail to make the payment due to us in full and on time we may treat your booking as cancelled by you.
2. Making your booking using VRBO or Trip Advisor online booking services
If you have chosen to book using the online credit card payment scheme offered by VRBO or Trip Advisor, you will be advised by them regarding their cancellation policy and payment terms and conditions.
A 25% deposit will still be required to secure your booking, and the balance and security deposit will be payable 60 days ( VRBO) or 40 days( Trip Advisor) before you arrival date. The £500 security deposit will be payable directly to the owners, unless the booking is with Trip Advisor.
A booking fee for online booking services/credit card payment will also be added by VRBO or Trip Advisor at the time of booking.
We will still require you to complete, sign and return our booking contract with your guest details and this will be taken as acceptance of the Property rental terms and conditions.
3. Security Deposit
We require a security deposit of £500 to be paid at the same time as the balance. This will be returned by the Owners (or Trip Advisor as appropriate) within 21 days of your return, subject to satisfactory compliance with these terms and conditions.
The Owner reserves the right to withhold all or part of the security deposit in any of the following circumstances:
- replacement or repair of the property, furnishings, fixtures and fittings due to inappropriate use
- excessive use of electricity, for example leaving air conditioning running when the house is empty
- smoking anywhere within the house or grounds
- careless or disrespectful behaviour resulting in excessive cleaning or laundry costs
4. If you cancel or amend your booking
If you need to cancel or amend your booking you must inform us as soon as possible.
You will be required to confirm your cancellation by email or in writing, to the address shown on our written confirmation or via the VRBO/Trip Advisor platform as appropriate. A cancellation will not take effect until we receive written confirmation from you or the advertising platforms.
If you cancel your booking within seven days of receiving our written confirmation, we will refund any money you have paid us. After such period, if you cancel your booking more than 8 weeks prior to the arrival date, in normal circumstances, we will retain the initial deposit and refund any further amounts you have paid to us.
Normally, If you cancel your booking less than 8 weeks prior to the arrival date, we reserve the right to retain the initial deposit and the balance. If we are able to secure another booking, we may, at our discretion, refund all or part of the balance.
NB. During the Covid pandemic, we will make a full refund of any monies paid if government restrictions prevent travel.
You must ensure that you have adequate travel insurance to cover any cancellation costs for reasons other than Covid travel restrictions. (see clause 7 below)
5. If we cancel or amend your booking
We would not expect to have to make any changes to your booking, but if a problem occurs, we will contact you as soon as is reasonably practical and inform you of the problem or the change to your booking and, if it is necessary to cancel your booking, we will refund the balance of any money you have paid us. We will not be responsible for any consequential costs arising from the cancellation.
6. Your Accommodation
Arrival / Departure
You can arrive at your accommodation after 1500 hours on the arrival date of your holiday and you must leave by 11.00 hours on the Departure Date unless the owner or house manager has agreed otherwise.
The keys to the villa are in a coded key safe and must be returned there after gaining access to the villa and after locking up on your departure day. A second key is provided for daily use.
If your arrival is delayed by more than 8 hours, you must contact us to inform us of your situation.
Smoking
Smoking is not permitted anywhere in or around the property and will incur loss of security deposit.
Pets
Pets are not permitted. We also request that you do not feed any stray cats and dogs that may visit the villa as these may become a nuisance to other guests.
Maintenance
The pool and grounds will be maintained during your stay. This will be done as discreetly as possible to ensure that guests are not disturbed. The house manager will check the pool chemicals and clean the pool as well as watering the pots around the grounds.
Pool
The swimming pool is used by guests at their own risk. Diving is not permitted and glassware or crockery are not allowed in the pool area. Plastic glasses and plates are provided for use around the pool.
Pool heating
Pool heating is available free of charge for off peak periods at the discretion of the owners and house manager. The pool heat pump achieves a maximum temperature of around 26 degrees depending on the ambient temperature. We cannot guarantee higher temperatures due to the fact that the pool is uncovered overnight. The pool pump cannot run for 24 hours a day as it would overheat. Temperatures of around 28 degrees are achieved by the heat from the sun during the peak season. Guest’s access to the pool room/machinery is strictly forbidden.
BBQ
Extreme care must be taken when using the BBQ. Charcoal is the only fuel to be used in order to avoid fracturing the chimney and minimising the risk of causing a bushfire. An immediate fine of 1000 euros may be issued by the greek fire department if they are called by anxious neighbours. If incurred, this cost will be borne by guests.
Cleaning
The villa is cleaned and bed linen and towels are changed twice a week. For weekly changeover of guests, this is in preparation for your arrival and then again mid-week. More frequent housekeeping can be arranged with the house manager at extra cost.
Bedlinen, bath and hand towels are provided and we also provide swimming towels for the pool.
Approved guests/ Large functions
This accommodation must only be used by guests named on the booking contract. The use of Villa Petalutha for large parties or functions is strictly forbidden unless permission has been granted by the owners. Such usage may incur additional costs.
Information file
Extensive information files are kept at the villa. These contain important information about our provision at the villa, use of equipment and safety. We ask that all guests read them carefully at the start of the holiday.
Safe
A safe for personal belongings is provided. Instructions for use are in the house information file.
Wi Fi / TV
We provide free unlimited wifi at the villa.
Television is provided via a set top box and is steamed via the internet. We can get most UK channels
though we cannot guarantee 100% reception. The signal may be interrupted in bad weather conditions
and will be weakened if other devices (tablets, laptops and phones) are being used at the same time.
Please read all instructions carefully before use.
7. Your obligations
- You agree to comply with the regulations and Instructions set out in the property information files and ensure that they are observed by all members of your party.
- You agree to keep and leave the Property and the furnishings, kitchen equipment, barbecue, crockery and glasses clean. Failure to do so may result in all or part of the security deposit being retained. This will be at the owner’s discretion ( see Clause 3)
A degree of wear and tear or minor breakages are accepted as normal, but we would appreciate it if you would please inform our house manager of any accidental breakage incurred during your stay so that we can repair or replace items as soon as possible. - You are responsible for the conduct and safety of your children. They must be supervised at all times, especially in and around the pool.
- You agree not to cause any damage to the walls, doors or windows of the Property or the swimming pool, gardens and terraces.
- You agree to ensure that air conditioning units, fans and any unnecessary lights are turned off when the property is unoccupied.
- You agree to take all necessary steps to safeguard your personal property. No liability to you is accepted in respect of damage to or loss of such property, except where the damage or loss is caused by our negligence.
- You agree to ensure that all windows and doors are locked and the gates are padlocked when you go out.
- You cannot allow more people to stay in the Property than expressly authorised, nor can you significantly change the makeup of the party during your stay in the Property unless agreed with the owners.
- If you do so, we can refuse to hand over the Property to you, or can require you to leave it. We will treat any of these circumstances as a cancellation of the booking by you.
- You agree to allow us or any representative of ours access at any reasonable time during your stay for
the purpose of cleaning, essential maintenance or repairs. - You agree to ensure that each member of your party is covered by comprehensive travel insurance (including cancellation, flight delays, loss and damage to baggage and other property) and health insurance (including evacuation and repatriation coverage).
8. Complaints
Every effort has been made to ensure that you have an enjoyable and memorable holiday. If however, you have any cause for complaint it is important that remedial action is taken as soon as possible.
It is essential that you contact our house manager if any problem arises so that it can be speedily resolved. It is often extremely difficult (and sometimes impossible) to resolve difficulties properly unless we are promptly notified.
Our house manager will make every effort to deal promptly with problems wherever possible, though some issues may be beyond our control.
If any complaint cannot be resolved during your holiday, you must write to us with full details within 28 days of the end of it.
9. Our liability
The owners do not accept responsibility or liability for any loss or damage or alterations to the terms of this booking caused by events that are beyond our control. This includes, but is not restricted to, war civil disorder, terrorist actions, industrial disputes, natural disasters, adverse weather conditions, fire, flood, flight delays or cancellations.
